Chrome extension

Privacy Policy

This policy explains how the MeetFlow AI Chrome extension collects, uses, stores, and shares information when it creates live Google Meet transcripts and AI-powered meeting notes.

Effective and last updated: September 10, 2026

1. Scope and single purpose

MeetFlow AI’s Chrome extension has one purpose: to help users transcribe Google Meet conversations, save meeting history, and create useful meeting notes, summaries, answers, key points, and action items.

This policy applies to the MeetFlow AI Chrome extension and the backend services used specifically to provide those extension features. For the macOS/iOS/Android apps, see the App Privacy Policy.

2. Information we collect

Extension IDA randomly generated identifier used to keep each installation’s meetings separate.
Optional emailCollected only if you provide it, primarily for workspace features.
Meeting contentMeeting audio, captions, transcripts, notes, AI questions, summaries, and action items.
Meeting detailsGoogle Meet URL or code, meeting title, timestamps, participant display names, and speaker labels.
SettingsCapture mode, auto-start choice, workspace selection, sync preference, and interface position.
Technical dataOperational errors and request information needed to deliver and secure the service.

Audio capture

If meeting-audio transcription is enabled, the extension captures audio from the selected Google Meet tab and sends short audio segments for speech-to-text processing. MeetFlow AI does not use this permission to record unrelated tabs.

Website access

The extension accesses Google Meet pages to display its meeting panel and obtain meeting information, captions, and participant labels. It does not create a profile of your general browsing history.

3. How we use information

We use collected information only to provide and improve MeetFlow AI’s meeting-assistant features, including to:

  • create live transcripts and associate speech with participant names;
  • save, retrieve, search, and display your previous meetings by Extension ID;
  • generate summaries, answers, key points, decisions, and action items;
  • sync meetings to a workspace when you explicitly enable that feature;
  • maintain service reliability, prevent abuse, and troubleshoot failures.

We do not use meeting information for advertising, credit decisions, or purposes unrelated to MeetFlow AI’s single purpose.

4. When information is shared

We do not sell personal information. Information may be transmitted to service providers only when necessary to provide MeetFlow AI:

  • AI and speech-processing providers: Depending on service configuration, relevant audio, transcripts, prompts, and meeting context may be processed by Groq, OpenAI, or xAI to perform transcription and generate AI output.
  • Hosting and infrastructure providers: Data may be processed by services that host, secure, store, or operate the MeetFlow backend.
  • Your workspace: If you enable workspace synchronization, the meeting transcript and generated notes become available within the selected workspace according to its membership and access controls.
  • Legal and safety reasons: We may disclose information when required by law or when reasonably necessary to protect users, the service, or the public from fraud, abuse, or security threats.

5. Storage, retention, and deletion

The Extension ID is stored locally in Chrome and by the MeetFlow backend. Extension settings may be stored through Chrome storage. Active-session information may be stored temporarily in the browser so a meeting can continue reliably.

Saved meeting transcripts, participant labels, notes, and AI output are retained on the backend so the Previous Meetings feature works. They remain associated with the Extension ID until they are deleted under our operational retention practices or following a valid deletion request.

Uninstalling the extension removes its local Chrome data but may not automatically remove meetings already stored on the backend. To request deletion, contact us using the address below and include the Extension ID shown in the extension settings. Do not include confidential meeting content in the request.

6. Security

We use reasonable administrative, technical, and organizational measures designed to protect information. Production communications between the extension and backend must use HTTPS. Access to extension meeting records is scoped by the randomly generated Extension ID.

No system is completely secure. Protect your Extension ID and do not share it publicly, because it identifies the extension installation used to retrieve meeting history.

7. Your choices and responsibilities

  • Email is optional. You may use core extension meeting storage through the Extension ID without supplying an email.
  • You can choose captions, meeting audio, or the available combined capture mode.
  • You may stop, finish, or cancel capture from the MeetFlow interface.
  • Workspace synchronization is optional and should be enabled only when you want meeting data added to that workspace.
  • You are responsible for providing any notice and obtaining any consent required to record or transcribe meeting participants under applicable laws and organizational policies.

8. Chrome Web Store Limited Use disclosure

MeetFlow AI’s use and transfer of information received from Google APIs will adhere to the Chrome Web Store User Data Policy, including the Limited Use requirements.

MeetFlow AI does not sell user data, use it for personalized advertising, use it to determine creditworthiness, or allow humans to read meeting content except with the user’s affirmative consent for support, when necessary for security, when required by law, or after the data has been aggregated and anonymized for permitted internal operations.

9. Children’s privacy

MeetFlow AI is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided information through the service, contact us to request its removal.

10. Changes to this policy

We may update this policy as MeetFlow AI changes or legal requirements evolve. We will update the effective date above and provide additional notice when required.
